ATS Assessment Workflows for Recruitment Agencies: A Practical Checklist

Recruitment agencies need assessment information to reach the correct client application, not merely appear somewhere in a candidate database. Start with the workflow and permissions before choosing an integration method.

MyCulture's developer information describes REST assessment APIs and a Greenhouse integration. This guide does not assert native connectors for Lever, iCIMS, Workday, BambooHR, Zapier or Slack. Confirm the current supported method with your vendors before planning automation around any of them.

Define the assessment handoff

Choose the application stage that needs assessment evidence, the template for the role, the person responsible for the invitation and the reviewer who receives the result. Agree with the client which information belongs in its applicant tracking system and who can access the full report.

Use stable candidate and application identifiers where the supported system allows them. Email alone can be ambiguous when a candidate has several applications or when records have been duplicated.

Choose a supported connection method

For Greenhouse, review the supported assessment-stage workflow and obtain the setup requirements for your account.

For Lever or iCIMS, ask whether the specific account can trigger an external assessment and store its returned result or report link. Verify the authentication method, required fields, permissions and matching rules. Do not present an untested mapping as a ready-made MyCulture connector.

For Workday, confirm the relevant recruiting workflow and the client's integration approvals. A general ability to use an API does not prove an assessment connection is configured or available in that tenant.

For Zapier, check that the exact trigger and action needed exist, or that an approved custom request can implement them. Confirm MyCulture's supported API and result-retrieval behavior first. A generic automation service does not guarantee a turnkey connection to every ATS.

Handle Slack and BambooHR carefully

A Slack notification can tell an authorized reviewer that an assessment needs attention. Avoid calling a candidate a failed fit or putting sensitive results in a broadly accessible channel. Prefer a restricted notification with a controlled report link, and verify the required app or automation method.

BambooHR may be part of an employee handoff after a hire. Confirm whether retaining candidate assessment data there is necessary, which fields are supported and who may see them. Do not copy every candidate score into an employee record by default. This guide makes no claim that a native MyCulture-to-BambooHR connector exists.

Test matching and result retrieval

Run an authorized test candidate through the full process. Check the invitation recipient, selected role, result status, report permissions and destination application. Test a repeated stage change, an unfinished assessment, two applications for the same person and a temporary connection failure.

Document what the actual integration does in each case. Assign someone to review failed handoffs; a silent error can leave candidates waiting while the recruiter assumes an invitation was sent.

Until an automation is verified, assign invitations through the supported product workflow and share the report using approved access. Record completion in the ATS through its supported manual process. This is preferable to claiming an integration is live when nobody has checked an end-to-end result.

Present assessment evidence to the client

Keep the result's source and meaning clear. MyCulture values, culture-profile and work-style signals support follow-up questions; they should not become an automatic rejection based on one generic threshold. Combine them with role skills, structured interview evidence and the client's actual job requirements.
